5 Steps for Getting a Repair Done in Your Townhome Rental

5 Steps for Getting a Repair Done in Your Townhome Rental

Oct 25, 2024

When you’re looking for townhomes for rent, make sure to look for general maintenance and repairs that occur due to normal wear and tear. These issues include minor floor scratches, faded paint, and loose doorknobs. Here’s how to get a repair done to your townhome:

1. Identify the Issue

We conduct regular inspections of our townhomes for rent before you move into our community. If you need to repair your townhome, like address a leak, we recommend identifying the issue first. To find the source of a leak, check for signs of water, like stains, moisture, or mold. Follow these symptoms to sinks, bathtubs, and toilets. Sometimes, water could also be getting in from outside due to worn weather stripping or an open window.

Once you’ve found the source of the issue, document it by taking photos or videos. This helps us understand the situation, and then we will contact the right repair company for the job. If you can’t find the actual source of an issue, it could be concealed within the structure of your townhome. A professional repair serviceman will be able to detect the root cause of the issue with thermal imaging and handheld meters.

2. Check Your Lease Agreement

Lease agreements bind both parties to the agreed-upon terms, including rent, lease length, and community policies. Repair coverage and procedures are found within the dedicated “repairs and maintenance” clause. This clause will explain which repairs you are able to handle yourself and which ones require us to be notified.

Ordinary wear and tear damage that we cover includes loose cabinet handles, minor floor scuffs, and nail holes in the drywall. Small fixes like replacing smoke detector batteries and broken lightbulbs can be done yourself. Emergency situations like a heating, ventilation, and air condition (HVAC) malfunction should be communicated to us as soon as possible.

If there is an accident in your townhome, such as moving furniture and damaging the walls, we will work with you to find a solution. In certain circumstances, we may both agree on hiring a repair person yourself. Depending on your specific situation, we can deduct these costs from your rent or from your security deposit.

3. Contact Us in Writing

To notify us of your issue in writing, you may either email us directly or through our online portal. Include your name, date, and a brief description of the problem. This is where you add photographic or video evidence as an attachment. We will reply to your concerns within one business day.

We recommend that you save our contact information on your phone and with your email provider to avoid missing our attempts to reach you. Our responses may end up in your email’s junk folder. If this happens, select the email as “not junk,” and it will be returned to your inbox. This will prevent our correspondence from returning to the junk folder in the future.

4. Wait for Approval

Before attempting to fix any problems yourself, please wait for us to respond to your repair request first. Multiple factors influence the cost of a repair, including the severity of the issue. Any damage done to the property, even for repairs, could go against the lease agreement. We have a trusted list of contractors that we regularly work with to perform repairs and maintenance for our townhome community.

A reasonable amount of time to wait for approval is generally a few business days, but this timeframe could vary due to different factors. Weather conditions, project complexity, and material availability could influence the repair schedule. Your repair request will be approved as soon as possible, usually by directly responding to your message request.

5. Provide a Preferred Time for Repairs

Check your schedule and let us know what days and times you will be available for repairs. Most issues can be corrected within a few hours on the day of your choosing. We will give you at least 24 hours’ notice for the repair. If you work remotely, you may choose to remain in your townhome during the repairs or leave for another location for the day.

If you have pets, such as a cat or dog, we request that you keep them in a separate part of the townhome or a crate. Removing your pets from the work area keeps them safe from accidentally getting outside or getting in the way. It’s best to do this before a repairman arrives so that they can immediately address the problem without distractions.

The repair service company will then clean up any debris left behind from their repair. Fine particles like drywall dust should be removed with a vacuum first, then a damp cloth lifts any residual dust left behind. Some workers will place a drop cloth in the area to help keep the mess to a minimum. The drop cloth is rolled up once repairs are complete and properly disposed of.
